The warehouse software that adapts to you, not the other way round.
Receiving, put-away, picking, packing, dispatch and invoicing on one single platform — built around your warehouse in 5 questions: your location numbering, your equipment, your industry, your carriers.
And it is the only one that shows it running in 3D before you move a single box.
See your warehouse running before it happens
A 3D digital twin of your warehouse: your operators, your forklifts, your timings. It is not a marketing render — it is the engine you plan the week with. Two concrete uses, live in the product today:
Simulate Monday before Monday arrives
Load a real day of orders and The Planner runs the whole thing in 3D: what time the last order leaves, where the bottleneck builds and which carrier cut-off is at risk. The optimiser tries hundreds of staffing combinations and tells you how many people to put on each process — so you never pay for hours you do not need, or find out at 13:50 that you are one person short.
Validate a layout change before you touch a single rack
The twin works to real dimensions and real traffic rules. Draw the change, run the day again and compare. If it does not fit or does not get there in the twin, it will not in your building either — and you find out on screen on a Tuesday, not with the warehouse at a standstill.
Per-task traffic light, live
Every task of every operator carries its own colour dot: on time, running late or stuck — using nothing but the handheld scans you already make, with no beacons and no cameras. Per task, not per person: nobody is watching anybody (GDPR).
Your whole warehouse, sorted
From unloading the lorry to invoicing the client. Three things, in this order: inventory that adds up, people who do not make mistakes, and money that actually gets billed.
Your stock, bin by bin, without weekend stocktakes
A double scan on every move: the system knows where every unit is because it is impossible to leave one somewhere else without the system objecting. Blind cycle counts reconcile your stock little by little, with the warehouse up and running.
- ✓Receiving with advance notice (ASN), damaged goods photographed straight into quarantine, and put-away directed by ABC rotation
- ✓Batches, serial numbers and expiry dates, with the order of picking set by FEFO, FIFO or LIFO product by product
- ✓Blind cycle counting with sign-off on negative adjustments: nobody balances stock “by eye”
- ✓Stock ledger (kardex) with running balance, value in euros and an audit trail of every change — with CSV export
A temp who is productive on their first shift
The handheld gives one instruction at a time: go to this bin, scan, take three, tote four. The triple scan — bin, product, tote — makes a mistake almost impossible. Getting it wrong takes more effort than getting it right.
- ✓The handheld is just a web page: open a link and you are in — nothing to install and no €1,500 terminals to buy
- ✓PIN login: an operator is working within 10 seconds
- ✓The next task arrives on its own, chosen by role, urgency and proximity: nobody wanders the aisles
- ✓Wave picking, zone picking or batch picking; the system chooses the technique that fits your volume
3PL billing down to the cent — and you see where the money leaks
Every warehouse event leaves a trail and, if you are a 3PL, a charge too: order shipped, pallet received, bin occupied per day. At month end there is no spreadsheet: there is a draft invoice waiting for your approval. And the management dashboard shows you which client costs you most per order.
- ✓Automatic event-based billing, with a rate card per client and storage charged by pallet, m³ or unit
- ✓Proper compliant invoices: numbering, PDF, intra-EU VAT, credit notes and payments
- ✓Management dashboard: cost to serve per client, shrinkage in euros and capital tied up in stock
- ✓Client portal: their stock and their orders in real time, without picking up the phone
If you store and fulfil for others, this will sound familiar
Every client with their own stock, their own rates and their own quirks. Ubika runs the operation and bills it on its own, while you grow.
“I have no idea what each client costs me.”
Every event is charged at that client's own rate, and the management dashboard tells you the cost to serve each one. At month end you get a draft invoice, not a spreadsheet built by hand.
“Again: has my pallet arrived yet?”
Each client logs into their portal and sees their stock, their orders, their returns and their alerts in real time, under your brand. No more calls and emails.
“Two clients' stock keeps getting mixed up.”
Genuinely segregated stock per client, multi-client and multi-warehouse, with traceability by batch, serial number and expiry, and product families that never share a bin.
Online shop with your own warehouse? It fits just as well: the setup wizard tailors Ubika to your operation in 5 questions.
We connect to what you already use — and to almost anything else

Up and running in minutes, on your own
Ubika is built to get going without us. No hardware, no building work, nothing to install. And if you would rather have a hand, it is there for the asking.
What people ask us before getting started
How long does it take to get up and running?
Minutes to have your warehouse set up: you answer 5 questions and the wizard configures Ubika around you. The longest part is uploading your catalogue and your stock, and you do that yourself from a spreadsheet. There is no hardware to buy and no building work to do.
I already have warehouse management software. Do I have to throw it out?
Not in one go. You can start with a single zone or a single client while everything else carries on as it is. We import your items and your stock, and the connectors talk to your shop and your carriers from day one. If the trial does not win you over, you switch it off and nothing has happened.
Will it force me to change the way I work?
Quite the opposite: the setup wizard adapts Ubika to your operation — your rack numbering, your equipment (forklift, pallet truck…), your industry (with batch and expiry tracking if you need it) and your carriers. The software moulds itself to your warehouse, not you to it.
Do I need robots, beacons, cameras or expensive scanners?
No, and that is deliberate. Ubika is designed for warehouses that are not automated. The handheld is your own phone (or any Android device): you open a web page, with nothing to install. The per-task traffic light uses only the scans you already make — no cameras and no watching people (it is per task, not per operator, GDPR).
Do you charge for every client I connect?
No. Warehouse clients and their portal are unlimited on every plan. You pay for the shipments you move, not for how many clients you serve. Bring as many as you like.
What about my data? Where is it and can I take it with me?
In European data centres, under GDPR. Every client in their own isolated space, with role-based permissions, 2FA and an audit trail of every change; encrypted credentials and daily backups off the server. And it is yours: export everything to CSV or through the API whenever you want, including the day you leave.
Which shops and carriers do you integrate with?
Shopify, PrestaShop, WooCommerce and marketplaces (Amazon, Zalando, Carrefour… via Mirakl) so orders come in on their own; and UPS, SEUR, DHL, GLS and Correos Express for labels. For anything else, an open API and webhooks.
Does it work for a small warehouse?
The Start plan is designed for exactly that: one warehouse and the handheld on the phones you already have. You begin by controlling stock bin by bin and switch the rest on when your volume calls for it — not before.
